OSU EMERITI ASSOCIATION COUNCIL MEETING MINUTES

January 25, 2016


COUNCIL MEMBERS PRESENT: Anne Matoy, Ron Elliott, Tana Rutan, Vickie Sturgeon, Russ Wright, Bob Wettemann, Clem Ward, Kent Olson, Kay Keys, Jim Criswell, Dennis Bertholf, Althea Wright,

Anne Matoy welcomed everyone today. She distributed a final contact information sheet for members to correct and update email addresses. On January 22 she emailed: the Agenda, Council Contact data sheet, Event Schedule, and Organizational Structure to each council member for their review. Anne called the meeting to order at 1:30 asking for approval of agenda.

 

Agenda: Russ moved the agenda be accepted; seconded and passed.

 

Minutes: Anne called for approval of the November 2015 minutes; Russ moved they be accepted; seconded and passed.

 

Treasurer's Report: Ron Elliott distributed the Nov.-Dec. 2015 Treasurer’s Report. November checking account balance: $10,186.04. Savings account balance: $12,196.20. MMA: $18,961.22. OSU Foundation: ending cash balance $17,602.41. December checking account balance: $10,542.24. Savings account balance: $12,209.70. MMA Balance: $8,962.30. OSU Foundation ending cash balance $1,602.41. For a complete report please refer to the printed report Ron distributed. Bob Wettemann approved Treasurer’s report and Judy Lewis seconded the approval. After meeting Ron added notation at bottom of Dec. Report (we have an additional $26,000.00 with the Foundation in a new scholarship fund).


2016 Budget

Proposed 2016 Operating Budget $15,630.00 Expenses: 15,100.00. There are some additional expenses for 2015 activities that will be paid in 2016, including food, setup, and program. The budget total is slightly less than 50% of the 1/1/16 combined balance of the Association’s checking, savings, and money market accounts. Budget committee consists of Ron Elliott, Russ Wright, and Anne Matoy. Clem made a motion to approve and Kent seconded the approval of the Budget, motion passed. 

 

Scholarship Committee 

Clem, Ron, and Zane worked hard to help set up and put this Scholarship program in place. They received over $900.00 in donations so far and would like to send out a request for more donations later this year. They would like to meet the Scholarship recipient in the Spring. This Scholarship Agreement is an official document and it needs to be stored in a secure place. Anne and Judy will work on finding a permanent secure place for this and any other documents that need to be stored securely.

By-laws are available on the Web Page. Anne thanked Andrea and Zane for working on this huge project. Anne requested a Job Description from each council member so that new people coming in to the council will have an explanation of their assignment.

Membership Committee

Sharon Nivens

 

Sharon reported that one couple so far joined in 2016. Annual Dues reminders to be sent out shortly. Anne worked with Misty to update the Emeriti Brochure making a few changes. The brochure with a letter will be sent out to new retirees this month and sent out again in July. A sample brochure was passed around for us to preview. We discussed the possibility of giving out this brochure with an Emeriti enrollment form at the Retirement Presentations in H.R. on campus.

Nothing new to report but Russ mentioned we do need to fill the (President Elect) position.

Ambassadors/Alumni Relations Report

Sharon Brown

 

For year 2015, 21 Emeriti Ambassadors performed 196 hours of service for the OSU Alumni Association. Areas of service included hosting football game days at the Alumni Center, hosting May and December graduation ceremonies, serving at the Alumni Center reception desk, assisting with Grad Finale and at other events as requested. Some of the ambassadors who have served faithfully for years have asked to be taken off the list due to age and/or health issues. Help is needed at the reception desk during Spring break, March 16, 17, 18. More ambassadors are needed, especially for the May graduation ceremonies.

 

Request: Due to an annual Brown family reunion held the same weekend as the May graduation is usually scheduled, Sharon needs a leader for this event. The volunteer will schedule the Emeriti hosts and be there to help the registrar’s office see that the guests have a good experience on the monumental day. Russ Wright volunteered to take this duty during May graduation for Sharon.


University/ Faculty Standing Committee Reports

Faculty Council Report

Anne Matoy

 

Faculty Council meeting was short. Budget is the major concern but the cuts at the State may not affect OSU’S total budget as severely due to non-State funding. But we will be tightening our belts. Provost will approve Tuition Waivers for dependent children of employees. Bob Wettemann mentioned that it is not known at this time when Tuition Waivers will be established but he says the Administration is strong on it so should be soon.


Business

The Updates and the News Letter were discussed. If you have updates send them directly to Misty. If you have “news” for the News Letter, send those directly to Misty. Obituaries are not to be included in the News Letter, only the names. Misty does put obituaries in the Updates. The Emeriti web site does have an “In Memory” section. A card is to be sent to Geneva Duggers as she has had surgery and severe heart problems. Carol Olson has volunteered to send out Courtesy cards. Carol’s email is: carol.olson43@sbcglobeal.net. A reminder to pay annual dues will be in next News Letter. Scholarship announcement will be in the March News Letter.

 

Council Member Committee Appointments and Attendance

Kay Murphy has agreed to be Historian for another year.

 

Council Members will think about the committee they would like to serve on this year. A number of openings on Faculty Council are available. OLLI Liaison is also available and President Elect as well. Sharon Brown mentioned Ground Breaking for The Ranch will take place in about 90 days. The Ranch has 95 Charter Members and room for more. It was suggested that someone come in and give an update report on the progress of The Ranch Retirement Community.

Russ made motion to adjourn the meeting and Althea seconded motion; motion passed. Meeting dismissed at 3:00 P.M.
